Understanding the Role of an Event Planner

One fateful new year’s eve, a friend called & said she was having a New Year’s dinner party for her neighbors & needed help with planning a “memorable #newyeareve party”. I was like “girl I gat ya”. But the more we talked, we finally concluded she needed only few balloons for the decorations & nothing more.

As an event planner, I don’t do decorations, cater for food, remix music, tell funny jokes etc. Think of me more like your party project planner or party consultant. So this blog is dedicated to my friends that believe I can emcee or put together few balloons for their parties 😂😂. TBH, I do have a certification in balloon bending & I can dance a bit but as an event planner, my main job is to ensure you enjoy your party while you dump all your party burdens on me.

What Event Planners Do:

First and foremost, event planners listen non judgmentally to their clients’ needs and preferences. They help clients determine the style, theme, and goals of their event, and work with them to create a budget and timeline. From there, event planners take care of all of the nitty-gritty details of the event planning process.

This includes event theme, venue selection, vendor coordination (such as catering, entertainment, and decor), event scheduling, contract negotiation, event design and decor, on-site event management, and post-event follow up. I heard some scary stories of photographers not sending official photos months after a wedding or birthday party.

Event planners are expert problem-solvers and are always prepared with backup plans in case of unexpected issues or emergencies. They stay up-to-date on the latest trends and technologies in event planning and are flexible to accommodate changes.

Your event planner is your bestie for the period of your event as she also plays the role of a therapist (trust me there will be tears sometimes). You can call her any day or time for any little thing & she will always be on call by your side.

What Event Planners Don’t Do:

While event planners can take care of many aspects of event planning, there are some things they don’t do. For example, event planners don’t make decisions for their clients or enforce their taste – they work collaboratively with them & their families to create an event that meets their needs and preferences.

Event planners work within the allocated budget and negotiate with vendors to get the best possible prices. They don’t ignore safety concerns or fail to plan for emergencies.

In summary; your florist, caterer or Mc is not an event planner. Event planners are experts in organizing and executing all (not some) details of a celebration so that their clients can relax and enjoy their event instead of freaking out that the cake is late or someone forgot to follow up with suppliers. While they can’t make decisions for their clients or ignore safety concerns, they are always flexible and prepared to handle unexpected issues.
